Keep a Team healthy
Situation
Our Team has been running for a year, and nobody is sure who still needs access or which channels are still used.
At a glance
Outcome
A light review routine that keeps owners, members and channels current, and archives the Team when its work is done.
Benefits
- Less sprawl undermining search, Copilot and security. How to measure: Channels with no activity in 90 days.
- Access matches current membership. How to measure: Members removed at each review.
Resources required
- Who is involved
- The Team's owners.
- Skills
- Managing Team membership and channels.
- Effort
- About an hour each quarter.
- Duration
- Ongoing.
Risk of not doing it
Former members keep access to information, and stale content shows up in search and Copilot answers.
Keep it working
What to check
- Monthly
- Approve or decline pending membership requests.
- Quarterly
- Review owners and members.
- Archive channels with no activity.
- Yearly
- Decide whether the Team should continue or be archived.
Signals to watch
| Signal | Where to see it |
|---|---|
| Only one owner left | Team settings |
| Channels with no posts in 90 days | Teams usage report |
Tuning actions
- A channel is unused
Archive or delete it and tell members where that work now lives.
Triggers to revisit Governance
- The group's purpose has changed or ended.
Benefits check
Ask members whether the Team is still where they find what they need.
Making it scale
A group expiration policy renews active Teams automatically and asks owners to renew the rest, so reviews start without anyone remembering. Groups that aren't renewed are deleted, so decide on archiving before they expire.
Partly enforced. The gaps are a risk until a mechanism covers them.
Avoiding common pitfalls
Deleting instead of archiving
Archive the Team instead. Its content stays viewable and searchable, you can make its SharePoint site read-only for members, and the team can be reactivated later.
Checkpoints
- Two current owners.
- Membership reviewed in the last quarter.
